JOB DESCRIPTION:

In your role you will be ensuring the efficient day-to-day administration of the Office. This will include supporting Heads of Service/Managers with clerical work on a daily basis and communicating and dealing with the public, providing high quality customer service via telephone and email under the supervision of a designated manager. Your IT skills for word processing, spreadsheets, databases, email and internet will be utilised to maintain high quality records in a thorough and organised manner.

In addition, you will provide support to the Finance team by preparing purchase orders and managing supplier queries and to the Communications officer with Media Monitoring as required. The role is wide ranging and varied, where you will develop your administrative skills.

 

REQUIREMENTS:

Essential Requirements.

  • 2 years Administration experience.

  • Excellent IT and MS Office suite proficiency.

  • Ability to prioritise workload and multi-task as well as being well organised and flexible.

  • Strong written and verbal communication skills

  • Ability to work independently and as part of a team.

Desirable Requirements.

  • Experience in dealing with data protection and/or freedom of information matters.

  • Experience in dealing with regulatory and/or compliance matters.

 

 

KEY RESPONSIBILITIES:

 

  Ensure the efficient day-to-day administration of the Regulator‘s Office.

  Communicating and dealing with the public, providing high quality customer service via telephone and email.

  Use Information Technology daily, e.g. MS  Word, Excel, Outlook, Internet.

  Maintenance of multiple shared mailboxes.

  Administration and continuous improvement of internal electronic and paper filing systems and archive records.

  Maintain confidentiality of all documentation, records and information, including complaints and correspondence.

  Processing of Purchase Orders and invoices in a timely manner.

  Support Finance team with supplier approval and queries

  Ensure deadlines are met and that service levels are maintained

  Provide administrative assistance to Heads of Service as required.

  Support the Communications Manager in relation to Media Monitoring as required.

  Co-operate and work in harmony with other teams and disciplines.

  Ensure line management is kept informed of issues.

  Ensure office facilities are maintained to an appropriate standard.

  Any other duties deemed appropriate to the role.
