Executive Support Administrator – Part time, Dublin based – S010598
Our client, HealthTech Ireland, is an independent trade association working with over 150 diagnostic, surgical and digital health organisations in Ireland. These organisations range from start-ups, SME‘s, Distributors and Global healthcare organisations. The association provides value to members and collaborators in the wider healthcare ecosystem through working groups output, events, and education. It also supports policy development and advocacy to champion innovation and access for patients to health technologies that address a broad spectrum of healthcare needs.
HealthTech Ireland is growing in membership and collaboration across the broader healthcare landscape and are currently recruiting an executive support administrator in a part-time capacity.
Scope of the role:
This is a busy and varied role, as senior administrator office manager, you will act as assistant and provide administrative support to the CEO and senior leadership team.
What you will do:
Executive
Supporting the CEO and Healthcare Director in their day-to-day activities
Members
Respond to Member and Stakeholders quickly and efficiently
Engage with our members at every opportunity
Assist members around membership requirements
Assist with promotion of HealthTech Ireland to New Members
Communications
Ensure all communications are issued on schedule.
Ensure website is up to date
Assist in the design and production of promotional material.
Liaise with Communications company as necessary.
Events
Plan, liaise and coordinate, with Event Manager, on upcoming events
Represent the organisation at meetings where necessary.
Maintain upto date promotional material, including social media updates
Administration
Operate all admin activities in a timely manner
Ensure all board papers are filed appropriately.
Facilitate the Board and Working Groups and act as Secretary at designated meetings.
Process New Members‘ applications and admission as members
Maintain diary
Maintain all CRM members and stakeholder database information accurately
Accounts
Ensure all creditors and debtors are up to date.
Support and liaise with accountant, and be the liaison person, providing invoice support to our members.
Be flexible to the needs of the organisation. This role reports to the CEO and assists on special projects as needed.
Who you are:
You are an experienced administrator who has experience supporting executive level managers in a commercial environment. You are very organised and are comfortable prioritising your workload in a diverse, busy and dynamic role. Previous experience working with medical device organisations, medical distributors or healthcare services is a very distinct advantage.
Required Skills:

Solid administrative experience gained in a professional office environment

Experience supporting executive level managers

Experience working collaboratively with multiple stakeholders.

Proficient using MS office products and other IT systems,

Ability to manage and prioritise work demands and time-lines, working on own initiative

Demonstrate a high level of professionalism
Preferred Skills:
-
Previous experience working with medical device, healthcare or biotechnology companies or distributors preferred.

CRM management desirable, but not essential
Candidates will be based in the greater Dublin region to facilitate attendance at meetings and events as required, however, the position is in the main home based.
Please note this is a part time position (25 hours per week), competitive pro-rata salary.
