Job Title: Reception/Admin Assistant
Salary: €45-48K
Location: Rathcoole (own transport needed) would suit potentially if based in Naas, Saggart, Citywest, Kildare

Description of Role:
As a member of the team, you will be responsible for providing front office support & admin support at Head Office. Hours Mon-Friday 8.30am-5.30pm

Provision of a warm and professional front of house service.

Day to day operations of a busy office including dealing with incoming calls, emails and office queries from the team.

Developing and organising administrative activities
-
Organising meeting invites.
-
Assistance with meeting refreshments
-
Providing admin support to the Leadership team as required.

Deal with third party vendors/contractors/suppliers.
-
Manage office supplies.
-
Other ad-hoc duties as required
-
Point of contact for ordering incidentals across the full site e.g. uniforms for new starters, smaller items required for premises
-
Booking and arranging lunches as relevant for meetings and visitors
-
Welcome visitors and ensure they follow correct procedures when on site
-
Using a variety of software packages including the full Microsoft suite.

Booking transport and accommodation and arranging appointments for staff members.

Facilities organisation.

Diary Management.
-
Supervision of external cleaning operators
-
Continually focus on performance management
-
5+ year‘s experience in similar role.

Ability to communicate both internally and externally to a high standard

Strong organisational skills are essential

Ability to influence a variety of stakeholders
-
Ability to apply integrity and good practice across all activities and initiatives.

Demonstrate behaviour in accordance with Business Ethics and Protection policy in all company business dealings and decisions.

Ability to work in a fast-paced environment handling multiple tasks taking ownership end to end.

Self-motivated and self-driven, possess excellent verbal and written communication skills and enjoy working as part of a small entrepreneurial team.

Advanced knowledge of full Microsoft suits – Excel, word, powerpoint, outlook

Proven ability to manage time and workloads for maximum efficiency.

Team player and enjoy working with & supporting colleague
