RecruitmentPlus on behalf of our client have an excellent opportunity to join a growing business as Dispatch Administrator. This is a busy role communicating with a range of clients and colleagues daily across sales, production and logistics.

Working in office 5 days Monday to Friday 8.30am-5pm.

Requirements:

  • Prior experience in a similar admin, sales, dispatch or transport scheduling role.

  • Strong organisational and planning skills with the ability to manage multiple priorities in a fast-paced environment.

  • Excellent communication skills, both verbal and written, with the ability to liaise effectively with customers, sales teams, production staff, and hauliers.

  • High level of attention to detail and accuracy in order processing and scheduling.

  • Ability to work effectively both independently and as part of a team, using own initiative.

  • Good IT skills, including experience with Microsoft Office (particularly Outlook and Excel).

  • Ability to remain calm under pressure and respond positively to changing priorities.

  • Strong customer service focus with a problem-solving mindset.

  • Flexibility to provide cover for colleagues and adapt to changing business needs.

Key Duties & Responsibilities:

  • Receive and process sales orders via telephone and email in an accurate and timely manner.

  • Plan and schedule deliveries to meet customer requirements while maximising transport efficiency.

  • Liaise with customers and external sales representatives to consolidate orders, fill loads and ensure optimal lorry utilisation.

  • Allocate loads to approved hauliers and manage daily transport schedules.

  • Dispatch loads in line with production availability and delivery priorities.

  • Work closely with Production team to coordinate production schedules, dispatch plans, and stock requirements.

  • Maintain and manage customer standing orders, ensuring accuracy and continuity of supply.

  • Proactively communicate with customers and sales staff regarding delivery challenges, delays, or stock issues.

  • Ensure compliance with policies, procedures, and all relevant transport, health, safety and environmental standards.

  • Provide cover for colleagues within the department as required to support business continuity.

  • Collaborate effectively with team members to ensure the smooth day-to-day operation of the Sales and Dispatch function.

  • Carry out additional duties as assigned by management in support of business needs.

  • Maintain confidentiality and act in accordance with company policies at all times.

  • Participate in training and development activities as required.
