Medical Receptionist / Administrator – Dun Laoghaire, Co. Dublin

€18 per hour

Mon – Friday 9.30 am – 5.30 pm (40 hour week full time)

Our client is a well-established and busy private specialist clinic and are now looking for a Receptionist / Administrator to provide comprehensive administrative and reception support to ensure the efficient and effective operation of the clinic.

This person will act as a key point of contact for patients, clinicians, and external stakeholders, delivering a professional, confidential, and patient-centred service in line with Irish healthcare standards and data protection requirements.

Duties and Responsibilities

Reception & Patient Services

  • Open and prepare the clinic each day, ensuring reception and waiting areas are fully operational, safe, and welcoming.

  • Act as first point of contact for patients, managing check-ins, distributing documentation, and responding to queries in a courteous and professional manner.

  • Process patient payments and issue receipts in accordance with clinic procedures.

  • Maintain an orderly reception environment during busy and unpredictable periods.

 

Telephone & Email Administration

  • Answer and manage incoming calls, responding to appointment requests, prescription queries, and general enquiries, and escalating or forwarding information to clinicians as required.

  • Manage appointment bookings, cancellations, and rescheduling via phone and email, ensuring continuity of care and appropriate communication with patients.

  • Support clinicians with diary management, including changes arising from annual leave, illness, or service demands.

  • Monitor and respond to clinic email inboxes, including website enquiries, GP correspondence, discharge requests, travel letters, and patient follow-ups.

  • Handle sensitive or complex communications (including complaints) with discretion, professionalism, and appropriate escalation.

 

Patient Records & Data Management

  • Accurately input and maintain patient information across clinical systems, ensuring records are complete, up to date, and appropriately filed.

  • Upload registration forms and correspondence to patient charts in compliance with GDPR and healthcare confidentiality requirements.

 

Documentation & General Administration

  • Prepare and print documentation including assessments, registration forms, consent forms and self-assessments for Clinicians.

  • Carry out administrative tasks as requested by clinicians, including follow-ups, obtaining signatures, and liaising with external bodies such as GPs, hospitals, schools, and colleges.

  • Order office and clinic supplies as required.

 

Team & Service Support

  • Provide flexible administrative support to colleagues during busy periods or service disruptions.

  • Contribute positively to team morale, communication, and service delivery.

 

Compliance & Governance

  • Adhere to clinic policies, procedures, and standards at all times.

  • Maintain strict confidentiality in relation to patient, staff, and clinic information in line with GDPR and Irish healthcare regulations.

  • Participate in training and development as required.

 

Essential Skills & Experience

  • 3 or more years previous experience in an administrative, reception, or customer-facing role, ideally within a healthcare setting

  • Excellent organisational and time-management skills

  • Have the ability to work effectively as part of an administrative and clinical team.

  • Strong written and verbal communication skills

  • Ability to manage competing priorities in a busy healthcare environment

  • High level of accuracy and attention to detail

  • Competent IT skills and ability to work across multiple systems

  • Professional, calm, and patient-focused approach

  • Demonstrate flexibility in responding to service needs, including changes to schedules, staffing, or workload.

  • Maintains a compassionate and kind approach in all interactions, supporting patients with sensitivity while contributing to a positive and respectful clinic environment.
